Webinar registration form template (free)

A webinar registration form should take under a minute, or people close the tab and forget the date. This one fits on a single page called Save your seat, with nine questions. It asks for first and last name, work email, company, job title and company size. Then one question splits the room: can you join us live? Anyone who picks "No, send me the recording" sees a short note saying the recording will arrive by email within 24 hours. Everyone can suggest a topic to cover and tick what they want to hear about later: future webinars, product updates or the newsletter. The thank-you screen tells people to check their inbox for the joining link, so the confirmation email is part of the job. Sign up for free, copy the template and write that email before you share the form.

Free plan, free forever. Sign up and the template opens in your workspace.

How the logic works

  • Shows the note “No problem. We'll email you the recording within 24 hours...” when “Can you join us live?” is “No, send me the recording”

What people see after sending

You're registered!

Check your inbox for the joining link. See you there.

Built in

  • Conditional logic

Who it's for

  • Marketers running a monthly product demo or customer webinar
  • Consultants and coaches hosting a free online session to meet new clients
  • Nonprofits holding an online information evening for new volunteers or donors
  • Training teams running live online sessions for staff or partners

When to use it

  • On the landing page for a single webinar, embedded under the description
  • For a recurring series, with the date and topic swapped before each session
  • When you want to hear what people hope to learn before you build the slides
  • When a large share of sign-ups will watch the recording rather than attend

Make it yours

  • Write the confirmation email that the thank-you screen promises. Turn on the respondent email and pick Work email as the address question in the notification settings; with no email question picked, nothing goes out. Then write your own subject (up to 200 characters) and body (up to 5,000). Paste the join link from your webinar tool into the body, with the date and start time.
  • Always state the time zone. Put the date, start time and time zone in the form's title or first line and again in the email, for example "Thursday 14 May, 4 pm London / 11 am New York". Check the gap in March and late October, when the US and UK change their clocks on different weekends. People in another zone will otherwise turn up an hour early or late, and you will get the emails about it.
  • Send the recording to the people who asked. After the session, filter the responses on "Can you join us live?" equal to "No, send me the recording", export the list as CSV and email them the link. The note in the form says within 24 hours, so change that line if you need longer.
  • Treat "Keep me posted about" as the only opt-in. Add people to your newsletter list only when they ticked The newsletter, and keep a column for it when you connect Google Sheets or a Zapier step to your mailing tool.
  • Tag each promotion link. Share a separate link for your newsletter, LinkedIn and partner posts with utm_source set to each channel. The built-in analytics show views, completions and the completion rate for each source, so you see which channel filled the seats.
  • Add a booking step for sales webinars. If the session ends with an offer of a one-to-one call, a Calendly or Cal.com booking question lets people pick a slot while they register.

Where the answers go

Every response lands in your HornetForms inbox. From there, send it wherever your team already works.

  • Turn on an email to yourself for each new response, on every plan
  • A confirmation email to the person who filled it in, when the form asks for their email
  • A new row in Google Sheets, a message in Slack or Discord, or a page in Notion, free on every plan
  • Connect with Zapier, or send signed webhooks to n8n, Make or your own app
  • CSV export on every plan, and Excel export on Pro and Business

Questions people ask

What questions should a webinar registration form ask?

Keep it short: a name, an email for the joining details, and whether they will attend live or want the recording. This template adds company, job title and company size for context, an open question for topics, and opt-in boxes for future updates. Cut any field you will not use.

Can I make a webinar registration form in Google Forms?

Yes. Google Forms offers Short answer, Paragraph, Multiple choice, Checkboxes and Dropdown questions (Google Docs Editors Help, "Choose a type of question for your form", checked 28 October 2026), which cover all nine. Use a Short answer for the work email and copy the labels and options from this page. If you copy the template into HornetForms instead, the recording note already runs on logic, and you write your own confirmation email with the join link.

Is there a webinar registration form sample I can try?

Yes. Press "Preview it live" on this page and fill it in as a guest would. Pick "No, send me the recording" to see the note appear. There is also a printable PDF in US Letter and A4 and an editable Word file.

Can I use this as a webinar sign up form on my landing page?

Yes. Embed it inline under your webinar description, or as a popup or slider on a busy page. With the embed script, the form also picks up the utm parameters from your landing page address, so each sign-up keeps its source.
